Understanding the Role of AI in HR

Traditionally speaking, HR departments have been thought of performing only administrative functions. At times also referred to as personnel departments, the key responsibilities of traditional HR departments have been mostly clerical and had been focused primarily on maintaining the workforce record.

However, all of it has changed in the last 30 years…

HR practices today are more focused on providing a competitive advantage to organizations –something we know as the ‘strategic HR’ practices. This new phrase has witnessed a complete overhauling of the traditional HR practices that have now switched focus to key metrics like enhancing employee performance, talent acquisition, implementing company policies, etc.

The impact of Artificial Intelligence (AI) on workforce and organizational process though not new, is definitely in a nascent stage. When organizations successfully combine the power of AI with strategic insights, it immediately transforms the way HRs contribute to the desired competitive advantage. It may be safely stated that AI provides better accuracy and stability to everyday HR processes using an algorithm that connects quality data with fast computation services. In simple words, the traditional HR initiatives had led to incremental change, while the implementation of AI has paved the way for an exponential performance boost for any given HR department.

Why is AI being used in HR?

After successfully transforming visual perception, speech recognition, tone analysis, language translation, natural language processing, and other such areas, AI has the potential to properly augment business operations and consumer solutions.

But why in HR? Here are five primary reasons why AI should be used in HRDs that we think is the most logical.

  • Solving Critical Business Challenges

Successful implementation of AI in HR processes would help organizations scale up their respective services and deliver better insights without the need for unnecessary headcount or cost. With the help of AI-based solutions, organizations will be able to empower employees to drive better delivery on the business strategy and enabled proper allocation of the financial resources.

  • Supporting Better Decision Making

Today all forms of business decisions are best made analytically owing to the overwhelming rate at which information is being generated. AI may be used to make sense of this vast amount of information and generate recommendations. Proper implementation of AI would enable HRs to be able to cater to employee concerns in real-time with the help of applications.

  • Improving Employee Experience

In today’s day and age, employees look for a more personalized experience as opposed to a standard one. HRs today may take the help of advanced AI solutions to offer employees a tailor-made experience that would help in keeping them engaged right from the start to the end of a process.

  • Attracting and Developing New Skills

There is a huge disruption in the business world today, and successful organizations are effectively coping up by creating an agile work environment. In addition, being able to respond faster and accurately, helps organizations to stay ahead of their competitors. This means, companies are always on the lookout for skills that facilitate the right kind of innovation that workplaces. And in this regard, AI would be able to help HRs source the right kind of talent.

  • Using the HR Budget Efficiently

AI implementation promises to help HRs in not just addressing employee queries effectively, but also be able to become more efficient with the designated funding for their department. This way the HR spend can be shifted to more complex problem solving, and thereby, adding value to the core company objective. The savings, thus made, can be reinvested in implementing more AI-based solutions, and in the long run, increase the ability of an HR to solve critical business challenges, develop and encourage more strategic skill-building, pave the way for positive work experience, and provide valuable decision-making.

Understanding the Roadblocks to the Future…

When considering the roadblocks to successfully implementing AI in the HR field, the first and foremost factor that surfaces from surveys is financial barriers. The other critical barriers include:

  • The difficulty of finding skillful individuals
  • A concern over data protection and privacy
  • Regular reviewing, updating, and maintenance of the tools
  • Integrative capabilities of the service/s
  • The limited availability of trusted applications

Overcoming all these barriers, successful businesses have started brainstorming how to incorporate conversational AI in all their HR transactions. Moreover, organizations are looking towards AI for performing administrative tasks in order to disburden HR departments and create more lucrative opportunities for them to involve themselves in effective decision making and value-added strategy planning on an organizational level.

AI has successfully opened the doors to previously unimaginable opportunities in business processes. And now, proper implementation of AI and constant upgradation of its promises to help HRs pave the way for a future workplace, where the workforce would be empowered to enjoy perfect control of their careers and would be motivated enough to modernize their skills so as to match with the technology trends that are or will be disrupting the business realm.

HR applications that will be powered by AI promise to have the potential to be able to empower HR professionals to become knowledgeable consultants and raise the employee productivity by leaps and bounds. These applications would help in systematic analysis, prediction, and diagnosis; and, transform the HRDs into capable and powerful resources in each organization.

5 Reasons Why You Need to Move Over Paper Logbooks

With the continual encroachment of technology globally, paper logbooks are increasingly becoming archaic. And, if you still adhere to using paper logbooks for storing your daily records, it is high time you rethink your proposition! Here are some of the usual drawbacks of using paper logbooks which are so common in nature that you almost tend to overlook them as part and parcel of the organizational process. However, it is NOT!

1. Logbooks Are Often Left Incomplete

Individuals have unique handwriting that is often unclear to the reader, in this case, the front office professional. Also, filling up the information in the registers is often considered as a mere formality that encourages the infamous usage of shorthand. In addition, there are cases where even if check-in details are present, the check out information is avoided completely. These occurrences are quite evident, and sadly undeniable in most workplaces – leaving the entire existence and importance of your paper logbooks, futile!

2. Zero Confidentiality

Are you one of those organizations that can boast about keeping your visitor information completely confidential using pen-and-paper registration? Do you get the hook in the question? Well, then you know what I am hinting at! Visitor information stored in a register that is easily accessible to any guest walking into your office may raise concerns about information confidentiality. So, if confidentiality is at all a necessity for your organization, paper logbooks should not be considered at all.

3. No Option To Centralize Your Recorded Data

If your organizations have headquarters in several places and you are dependent on visitor registers to store your daily visitor in and out data, then you have no means to centralize this information. And in today’s age and time, if your organization still practices manual centralization of the information, then you’re lagging way behind from the top guns!

4. Zero Utility In Emergency Cases

Like I said earlier, organizations that use paper logbooks rarely focus on recording visitor sign-outs. This practice makes it impossible for the admin or any person in charge to figure out if the person is still inside the premises or has already left. Moreover, visitor data stored in paper logbooks often go missing. So, if you want to meet a certain person who had met you years back, then I am sure your front office executive takes a considerable amount of time to get back to you with the right information.

5. Prone To Compliance And Security Issues

Using human-operated logs make consolidating or reporting data a tiresome. So, if you are looking forward to aligning all your details with your compliance policies and security requirements then things might end up becoming a time-consuming task. And, this eventually makes a bad impact on your overall expenses, and not to forget your organizational productivity!

Final Thoughts

Following traditions might feel secure, but you need to understand the silver lining between what is safe and what is holding you back from experiencing a complete digital overhauling of your front office operations. Now that you’re aware of the issues and challenges your organization may face owing to the use of paper logbooks, it is time you start digging deep in to find a one-stop solution that would help you make the perfect digital turn.

Why NexAEI Is The Best Solution For All Your VMS Hassles?

Organizations, big or small, have guests coming in all day long.

Some come in to help your IT team, some come in to deliver stationery, then there are interviewees, your friend or family – the list is practically HUGE!

Now, if your company also has a good number of visitors on a regular basis, you must be well acquainted with the numerous issues revolving around visitor management.

All those pen and paper registrations, missing records, overcrowded front office, confused visitors, host unavailable, etc., frustrate businesses a lot!

So, what is the alternative?

The Ultimate Solution!

It is simple!

What you are looking for is an automated visitor registration system that stores all the visitor information on a centralized database and churns out information whenever you need it.

All of this in one place, in one mobile application – NexAEI.

This is not just another VMS promotional blog. NexAEI is a sneak peek into what the future of front office operations would look like.

Let us consider 5 of the main issues you face with your existing visitor management system, and how NexAEI’s Visitor In & Out (VIO) provides an answer to each one of them.

I: Misinformation and Issues with Logging Out

In case of spelling mistakes or typos or any other mistakes done by the visitors while registering themselves during the signing in process, they usually find it hard to sign out as they can’t find themselves signed in. In such occurrences, they usually blame the VMS.

With NexAEI, you can completely forget identification issues such as these. And the reason is quite apparent.

While a visitor signs in, the system requires them to take a selfie that is saved along with the personal information.

Also, at the time of registration through the NexAEI Kiosk, the visitor is asked to provide their mobile number. NexAEI sends an OTP to that mobile number, which needs to be validated at the kiosk app.

In such a way, NexAEI cross validates a visitor avoiding any form of mistakes at the time of registration.

II: Pre-Inviting Guests and Scheduling Meetings

Sending out invites and scheduling meeting and events are a distant dream for most VMSs. However, the presence of such a feature would delight individuals who are organized and chalk out schedules in advance.

NexAEI can help you in such a case in the best way possible.

With NexAEI a host can easily pre-schedule a meeting or just organize and invite a previous visitor for a meeting that is about to happen on a certain date. Further, he may connect with the invitees from within the application itself.

III: Clueless Visitors and Security Breaches

Visitors who arrive at an office front desk are quite capable of generating visitor passes for themselves. These visitor passes enable the visitor to pass through their intended gate. Similar occurrences might arise security concerns as the admin panel or the host stand unaware of the situation.

NexAEI has its own unique way of tackling this issue.

When a visitor generates a visitor pass from the front desk Kiosk, the information gets conveyed to the host, whom the visitor has arrived to meet.

Now, at that point in time, if the host is ready for the meeting, he/she can just accept the meeting.

This acceptance will get conveyed to the front office personnel who will inform the visitor about the same.

But if the host is busy at that point, then the person can postpone the meeting and the same happening will take place in the same way.

IV: Meeting Cancellations

Such instances when a visitor arrives to meet an employee who has been traveling or is in someplace other than the office, occurs in every office. And, in usual cases, the meeting gets canceled.

In such cases, an employee using NexAEI, who has been traveling or is out of the office for some valid reason can transfer the meeting to one of his colleagues in order to avoid meeting cancelations.

V: Privacy Concerns Regarding Paper Logbooks

Lastly, this issue is one that is the most overlooked of any organization.

There are such cases when a visitor arrives at a time when the front desk person is not at their place. Such occurrences make valuable information stored in the front desk logbooks vulnerable.

With NexAEI you can just easily cast out such vulnerability of your front desk’s valuable information.

Through NexAEI all the information that a visitor enters into the front desk Kiosk, gets conveyed to the admin instantly and gets stored in the central database.

In this way, the information now becomes inaccessible to anyone else other than the admin and to get hands-on it, an individual requires permission from the admin.

What’s Your Take?

This is how NexAEI solves the issues that bog down other conventional VMSs. So, if you are facing similar issues with your regular VMS, then this is high time you shift to NexAEI.

The future is now.

How to Effectively Plan for Localizing your Mobile Application?

In the last article, we spoke about how app developers can get the best out of their products by localizing it, thereby making it fit for the global market. Now let us try to enumerate the ways in which localizing an app can be performed.

Before beginning with the localization, every developer needs to make sure their app is ready to be localized. How do you do it? Internationalization is your answer.

What is Internationalization? How does it differ from Localization?

Mobile app internationalization and localization is not the same thing. Even though one depends on the other, these are two separate processes that demand different approaches. Internationalization, in simple words, is customizing the code so that the app may be modified and released in multiple languages. Internationalization is usually performed in parallel with the app development process.

The basic way to differentiate between the two is by understanding that while on one hand internationalization is all about customizing the code of the app, localization, on the other hand, is all about customizing the content of it.

Selecting the Target Markets

According to studies the only localized apps that tasted global success, are the ones who had their targeted specific markets. Localizing your application would definitely make it ready for global deployment, but that does not mean one can expand anywhere and everywhere.

It is to be kept in mind that customizing an app for a particular locale involves a lot of cost and effort. So, it is always wise to first conduct market research and find out specific regions or countries that would help your app reach higher engagement.

Checking the Analytics from Time to Time

For mobile applications that have already been released and have a proper user base, developers need to look at the app analytics to understand possible growth directions. It is important to locate dedicated users and the countries they belong to in order to increase the traction.

Reading User Reviews

A great way to find out prospective locale or market is by following user reviews of your application. It is important to know what different people from different regions of the world have to say about your app. This will help in understanding which one would be a great region to expand.

Also, it is important to look for requests for a particular locale or resolve issues highlighted by the existing ones. Going through the review section indeed helps your team to make more effective decisions.

Competitor Analysis

One more way of understanding which markets to proliferate is by checking out what your competitors are doing. There are numerous tools available that would help you get the statistics about your competitors and gather ideas as to how they are performing in their respective markets.

App Annie is one of the top-performing applications in this category. The data that you get after the research helps you to understand which market would help you to perform better.

Markets are Different, and So Are Demands

If you are an app developer and you wish to make some big bucks with your product, then it is crucial for you to understand the different markets and the various demands shooting out from each. Without being able to get a complete understanding of the demands, it would not be a wise plan to enter a new market.

Looking for Professional Translators

It is very important to understand that in order for your application to perform well, Google Translate can never be an option. It is always better to hire professional help. Professional translators can actually help you save more time and deliver effective results. Translators also help in modifying the content so that anything that sparks off a cultural problem can be negated or modified.

You may also get in touch with a translations management system or sometimes referred to as the localization management system – who’ll help you to get connected with professional translators whom you can hire based on your requirement.

Localizing the App Store Content

Often times, app developers forget to localize the content on the App Store or Play Store. It is to be kept in mind that the app page on the various stores is actually the first point of contact with prospective users. Not localizing your app store content might drive away users, even if your app content has been localized.

To conclude, it is a fact that localization involves a wide array of processes. But we should keep in mind that no pain equals no gain. Successfully localized apps have experienced increased download rates. So, if you are planning on localizing your application, these would be the primary things you should keep in mind. All the best!!

Understanding Mobile App Localization and its Need

With the onslaught of widespread digitalization, the entire world today stands digitally united. This global synthesis is possible because of smart mobile devices and the wide array of applications available across android and iOS devices. There are more than 1.76 billion individuals using a smartphone, out of which more than half belong to the Asia-Pacific region. Increasingly, developers have to keep in mind a global audience while creating their apps.

Mobile devices have become a part and parcel of our lives today. This means that the potential market for app developers is virtually endless. Every new app developed and published, simply takes the whole ball game to the next level, and raises the bar of competition. What is the one vital means through which you can achieve a higher download rate for your mobile application? Well, the answer is creating an emotional bond with an individual. How do you do that? The answer is app localization. The mother tongue has the power to connect people, and the same applies to the popularity of your application. An application that features an individual’s native language immediately creates an emotional bond and gives you an edge over your competitor app developers. A mobile application with multiple language support increases the chance of its growth in the global market, thereby helps developers generate higher revenue. Localization of a mobile app helps in forging a personal relationship with a user and paves the way for making him or her, a habitual user.

App localization does not just mean translating the given language, but also reiterating several other aspects like the name of the app, currency units, symbols, designs, time zones, keywords, etc. Localized apps help local users feel comfortable using your application in their own language. More than 72% of app users are not native English speakers, which imply that apps which are not localized miss out on a large share of the market. According to a leading market survey report, apps that are released in native languages enjoy an increased 120% download rate and drive 26% increased revenue.

There are several ways in which you can localize your app. For the starters, you may make use of the localized language of a region. You may also consider localizing the video and image content on your app, as well as to conduct test to examine app localization.

What are some of the benefits that are delivered if you successfully localize your application?

  1. Reach: Asia has the largest mobile app consumer base today. Therefore, if you are restricting your application with a single language, you can very well be sure of missing out on a huge market.
  2. Sales Opportunity: There are more than 5 billion active smartphone users across the world. So just think about the kind of virtual sales opportunity your app gives you if you have it localized!
  3. Increased ROI: You can only get your money’s worth from your app if the users download it. Studies prove that localized apps help app developers across the world to achieve better ROI.

App developers, in order to comprehend the full potential of the global markets, need to cater to the interests of different cultures. Localizing your application by ‘experts’ help you in realizing the true potential of your app; and, at the same time, get it appreciated across the world.

Facial Recognition Technology – reimagining the future of advanced biometrics

Automated systems for quick and efficient identification of individuals are widespread. The presence of a wide variety of biometric authentication methods which are based on physiological characteristics like fingerprint, voice, hand geometry, and retina patterns are already present. In the light of this, face recognition technology is being increasingly considered as a groundbreaking technology that enables the adoption of a natural way of identifying an individual. Identification using facial features is a non-intrusive process; it is intuitive and does not rely on the whims of any individual.

Until recently, this technology was thought of as something straight out of sci-fi movies. However, in the past decades it has become viable and widespread. There are numerous industries which are benefitting from the face recognition technology. Generally speaking, the technology seems to have emerged suddenly. However, that is not the case. The technology has been around for more than five decades now.

This post intends to trace the genesis of the face recognition technology, and shed light on how it has evolved over time.

Woodrow Wilson Bledsoe (1921-1995), a renowned mathematician, computer scientist, and educator, is considered by many as the father of facial recognition. In 1960s he designed a system that used what was known to be a RAND tablet to classify photos manually. The RAND tablet was a device which was used to input vertical and horizontal coordinates of a face on a grid by using an electromagnetic stylus. The recorded metrics were then inserted in the database. As soon as the system was provided with a new photograph of an individual, it was able to retrieve an image from the database that had a close resemblance to him or her. However, due to limitations of the technology at that time and the restricted power of computer processing, the facial recognition of Bledsoe was inadequate.

In 1970s Goldstein, Harmon, and Lesk made use of 21 subjective facial indicators (eyebrows, lip thickness, hairline, etc.) to make the recognition process automated. These measurements had to be done manually which made the program time consuming and labor intensive. However, it was far more accurate than the technology of Bledsoe’s RAND tablet.

Late 1980s and Early 1990s

In the late 1980s and early 1990s, the research by mathematicians of Brown University – Lawrence Sirovich and Michael Kirby – together with two computer scientists from MIT, Alex Pentland and Matthew Turk introduced Eigenfaces, which was a linear algebra-based system that could plot faces by focusing on the ways in which it was different from the average.

Late 1990s and Early 2000s

The National Institute of Standards and Technology and the Defense Advanced Research Projects Agency (DARPA) encouraged the commercialization of face recognition by launching the Face Recognition Technology (FERET) program in early 1990s. The project was aimed at creating a large database of facial images.

2000 onwards

The facial recognition technology of the recent times far surpasses the earlier attempts, especially with widespread implementation of machine learning. Tech giants like Google and Facebook are applying complex algorithms to their enormous databases of personal information and photos, and paving way for a band of new generation tools. For instance, Facebook published a research paper on a facial recognition technique – DeepFace – that was able to reach an accuracy score of 97.35% over a large database of photos.

As data keeps piling, companies are implementing facial recognition technology to garner more attention and sales. In 2009, Coca Cola Zero released a profiler application on Facebook that helped users scan for photos of individual who looked like them. In 2015, Google introduced FaceNet that made use of a new algorithm and an artificial neural network to achieve perfect accuracy. This technology may be found in Google Photos that sorts photographs and automatically tag them on the basis of the faces recognized.

Face recognition system on mobile phones was revolutionized with Apple releasing iPhone X last year. The new phone model sold out real quick that proved consumers have now accepted facial recognition as the new advanced standard of security. The iPhone version of this technology is just the tip of the iceberg, in regard to the scope and possibilities of the technology.

The Way Forward

Facial recognition is a disruptive technology that has deep learning as one of its important components. It is part of the new generation algorithms that are being developed by the key players in the market. It is deep learning that holds the secret to face tracking, face match, face detection, and real-time translations.

With most of the conversations about facial recognition technology being focused on privacy and its related issues, there is a fair chance of the technology being used in various other sectors. It is very clear that the authentication and identification solutions of tomorrow will be incorporating several aspects of biometrics. This may lead to the birth of a highly sensitive biometric mix that would be going forward to guarantee total security of all in the ecosystem. It is now just a matter of time when the future enhancements of this technology and its widespread implementation will be creating new and advanced levels of service and security.

Key Employee Engagement Trends & Tools of 2018

Employees are now a young, vibrant, mobile set – ready to work from anywhere, across various timelines & locations. We believe it’s time for ‘Change’ across the organizational matrix, ensuring – Effectiveness, Speed, and a more Intelligent working model.

But then, how do you get there?

Do you dive in head-long without a strategy, a plan, or a gradual implementation pathway? Or, do you begin by introducing smarter systems at the very basic level – making change, not just an eventuality – but a part of engagement & experience management.

We believe in the latter, and have ideas – tools & trends that can ‘Transform’ without a glitch, a snag, or a tear in business-as-usual.

Here are a series of tips & tools that can pave the path for enhanced employee engagement:

1. Weekly Feedbacks

Weekly meetings must be held at the end or the beginning of the week to constantly stay updated, connected and well-informed. These meetings are essential, as they help collate valuable feedback, and give corrective performance evaluation reports.

All the concerned team members get together, either at the beginning or at the end of the week, to assess and ascertain the tasks which have been delegated & accomplished in the previous week, while aligning the activities for the following days. Valuable feedback on employee performance and workplace grievance is also shared, to further throw light on the on-going system.

2. Build an Organized Work Ecosystem

Various engagement tools are used to streamline the team’s activities, and align other processes for better coordination, enhanced efficiency, and unbiased & transparent delegation of responsibility. Some of the engagement work tools include, Trello & Slack. Their intuitive design and easy-to-use dashboard make remote work a cakewalk.

3. Rewards & Recognition

Continuous feedback and performance acknowledgement is a crucial part of employee engagement. Everyone loves being praised, and their work being appreciated in front of their co-workers/teammates. Arrange for bi-weekly sessions, wherein, all the team members collect together and each of them are called up and applauded for their hard work and contribution to the organization. This will encourage them to work twice as hard, and reach their ultimate potential.

Performance appraisals also play a significant role in boosting or pulling down the morale of an employee. A company’s performance appraisal structure should be designed in a fashion which ensures every employee is given the appraisal they deserve. This reduces the employee attrition rate, while encouraging the rest to carry out their responsibilities in the best way possible.

4. Enterprise-wide transparency

Establish clear lines of communication between all employees and managers. Provide employees all the information they need, and address their grievances if any. Lay the foundation for enterprise-wide transparency, and empower your workforce to use their discretion to take better & quicker decisions in the long run.

5. Engagement Activities

Work can get monotonous after sometime. In order to overcome workplace monotony, the HR team can conduct several engagement activities where employees and staff members are allowed to showcase their talent. From dancing & singing to setting up the platform for simulating games – these help employees escape the mundane workload and free their minds from the intricacies that their jobs involve.

All these tools and activities, combined together, will help improve the performance level of the entire workforce while driving positive growth in the organization.
